Privacy Policy

SnapLive is an interactive virtual photo booth operated by o!8studio at live events. A guest steps up to a booth, has a short live video session with a remote performer, and takes home a printed or digital photo. This policy explains what we collect during that session, how long we keep it, and who else sees it.
1. Who we are
o!8studio (“we”, “us”) is the operator of the SnapLive booths and the controller of the information described below. You can reach us at contact@o8studio.com.
2. Information we collect
We do not ask guests to create an account, and we do not collect names, email addresses, postal addresses, or payment details through the booth software. What a session produces is:
- Live audio and video. While your session is running, your camera and microphone feed is carried between the booth and the remote performer over Zoom’s video infrastructure. We do not record the call.
- Still photographs. When you or the operator triggers a capture, the booth saves a still image of the session. This image contains your likeness.
- Decorations you add. Drawings, signatures, and stickers applied to your photo at the kiosk, stored alongside the image.
- Operational data. Booth, kiosk and session identifiers, timestamps, print job status, and technical error logs. These describe equipment, not people, and are used to keep the booths running.
3. How we use it
Solely to deliver the experience you asked for: connecting your session to the performer, producing your photo, printing it, and offering you a download. We do not use your photo or session for advertising, profiling, or automated decision-making, and we do not sell or rent personal information to anyone.
If we would like to use a photo of you for promotional purposes, we will ask you for separate, explicit permission at the booth. Declining costs you nothing and does not change your session.
4. Live video and Zoom
The live portion of a session runs on Zoom’s Video SDK and Meeting SDK. Your audio and video pass through Zoom’s infrastructure in real time so the remote performer can see and hear you, and that processing is governed by Zoom’s own privacy policy in addition to this one. o!8studio does not enable cloud recording of these sessions; the still photograph is the only lasting artifact.
5. Where photos are stored and for how long
- Photos are written to the event computer running the booth software, on the local event network.
- Download links are protected by a single-use random token and expire automatically one hour after capture (configurable per event). After expiry the link stops resolving.
- If the event is configured to offer a QR-code download that works after you leave the venue, the finished photo is also uploaded to our cloud storage provider so that link stays reachable.
- Image files on the event computer are retained no longer than needed to run the event and resolve print problems, and are deleted by the operator at the end of the event run.
6. Who else sees your session
- The performer on the other end of your video call, and booth staff operating the equipment.
- Zoom Video Communications, as the real-time video provider described above.
- Our cloud storage provider, where post-event QR downloads are enabled.
- Authorities or venue operators, only where we are legally required to disclose something.
Beyond these, we do not share your photo or session with third parties.
7. Cookies and tracking
The SnapLive web application sets no advertising cookies and runs no third-party analytics or tracking pixels. Booth and kiosk devices use browser local storage to remember hardware settings such as the selected camera and printer. That data stays on the device.
8. Your choices and rights
You can decline to be photographed at any point, and you can ask booth staff to delete a photo immediately — they can do so on the spot, before it is printed or shared. After the event, email contact@o8studio.com with the event name, booth number, and approximate time of your session and we will locate and delete the image.
Depending on where you live, you may also have rights to access, correct, port, or restrict the processing of your personal information, and to object to it. Use the same address to exercise any of these; we respond within 30 days.
9. Children
SnapLive booths are operated in public event spaces and are not directed at children under 13. Where a minor wishes to participate, booth staff require a parent or guardian to be present and to consent to the photograph, consistent with venue policy. If you believe a child’s photograph was taken without that consent, contact us and we will delete it.
10. Security
Photo download links use randomly generated tokens compared in constant time, and expire on a short timer. Public access to the booth software is served over HTTPS. Booth, kiosk, and administrative surfaces are restricted to staff via shift codes and station keys, and the equipment itself is physically supervised for the duration of the event. No system is perfectly secure, but we design the booth so a session leaves as little behind as possible.
11. Changes to this policy
If we change how the booth handles your information, we will update this page and move the “last updated” date above. Material changes will be summarized at the top of this page.
